Configure task workflow transitions

Start with a simple process

Open a board and choose **Workflow automation**. Map the status moves your team actually needs before adding conditions or messages. Confirm the board’s statuses and fields already exist.

Define a transition

1. Add a transition using the workflow editor.

2. Choose its source and destination statuses and a clear name.

3. Review its available rules, conditions, and actions.

4. Check any field requirements, message content, and recipients.

5. Save the workflow and confirm the intended connection appears.

Test with authorized sample work

Use a non-sensitive test task and make an allowed move. Check any required fields and the resulting status and History. Actions that send messages or request customer verification should be tested only with an authorized recipient; a visual connection does not prove the external message was delivered.

Handle customer verification

Some transitions can require a customer OTP. Follow the verification prompt and use the intended customer channel. Do not bypass a verification requirement or include OTPs in article examples, task notes, or support screenshots.

Diagnose a blocked move

Check the source and destination, required task fields, rule conditions, permissions, and any verification state. Review the task activity log. Correct the unmet requirement before retrying, and confirm the final status after a successful move.
