Record or correct an invoice payment

**Add payment** records a payment received for an eligible Unpaid invoice. It does not collect funds from the payer. Verify the external receipt independently before creating the record.

Add a received payment

1. Open the invoice and choose **Add payment**.

2. Check the displayed **Invoice balance**.

3. Select the **Date** and actual **Payment Method**.

4. Wait for the method’s currency to load, then check **Payment Amount** in that currency. When it differs from the invoice currency, review the displayed equivalent.

5. Enter the genuine **Transaction ID** and, if useful, **Internal Payment Note**.

6. Save the payment once.

7. Refresh and inspect Invoice transactions, the remaining balance, and resulting status.

The system calculates payment state from recorded amounts. Do not add the same provider transaction again after a lost response, or alter the reference to bypass a duplicate check. Check the invoice first. A zero or reduced invoice balance does not prove the linked order was completed.

Correct an erroneous entry

Where authorized, use the delete action beside the exact Invoice transactions row, read **Delete this payment?**, and confirm **Delete payment**. Refresh and recheck the amount due before recording the corrected entry. Deleting the record does not return money through the provider.

Use the eligible invoice Refund action for a financial refund. If the payment method cannot load, stop and check gateway availability/permissions instead of recording the receipt against an unrelated method. Save or discard invoice item edits before payment actions.
