Edit invoice details and print a copy
Open the invoice and inspect its client, currency, items, transactions, and status before editing. Auto-generated invoices can intentionally prevent item editing. Staff also need the relevant invoice-update permission.
Edit permitted items
1. In the Invoice tab, locate the editable Rate and Quantity controls.
2. Change only the intended lines. Use positive quantities and valid numeric rates.
3. Review the updated totals, tax/fees, and outstanding balance.
4. Use the invoice’s save action.
5. Refresh and verify the stored items and totals.
6. Save or discard item changes before Add payment, Refund, or closing the sheet.
Change status carefully
The **Change status** menu offers the currently available choices. Some calculated or refund states cannot be set manually. To mark a received payment, use **Add payment** rather than forcing Paid in the status menu. An invoice with existing payment transactions can also prevent a manual status change. Remove or correct an erroneous payment only after reviewing its real-world evidence.
Choose **Print** to open the printable invoice. Allow the print window if your browser blocks it, then use the browser’s print or PDF destination. Check the invoice and client before sharing the file. Printing does not send an invoice email or create a payment.
If the form is read-only, check whether the invoice is generated with locked items or whether your role lacks permission. Do not cancel and recreate a paid invoice simply to bypass an editing restriction; inspect its transactions and refund requirements first.
